What makes practice IT different
The information you hold is about people's mental and physical health, which UK GDPR treats as special category data. Your professional body expects you to keep it confidential and secure. And the risk is personal: a lost laptop or a hijacked inbox exposes clients who trusted you with things they may not have told anyone else.
What we set up for practices
- A professional email address on your own domain, instead of a personal Gmail or Hotmail account.
- Multi-factor authentication on email and on any system that holds client notes.
- An encrypted laptop, with notes kept in OneDrive rather than on the desktop, so your records are still there if the laptop is lost or breaks.
- Encrypted email, with Business Premium, for messages that contain sensitive information.
- A shared bookings mailbox if you work with a colleague or an administrator, so each of you signs in as yourself.
Your website
For most private practices, the website is where a new client decides whether to get in touch. We build one-page sites from £350 and look after them from £15 a month. We keep the enquiry form short and ask only for what you need to reply, so clients are not asked to put sensitive details into a web form.
We have built the website and look after the email for a counselling practice, so we know what people look for before they make contact.
Which Microsoft 365 plan
For a sole practitioner, Business Standard covers email, Office and OneDrive. Business Premium adds encrypted email and laptop management, and is the better fit if you hold notes on a laptop that leaves the house. From us Premium is £25 per user, per month, on a 12-month term. What we can do for you
Microsoft 365 Setup
Set up properly, with the right licence for each person and security switched on from day one.
Security Health Check
A written review of nine areas of your Microsoft 365, with a plain-English traffic-light report.
Business Websites
A one-page site written and built for you, then hosted, backed up and looked after from £15 a month.
We are two engineers, not a call centre. Everything is a fixed price agreed in writing, and no work starts until you have accepted the quote. If what you have already works, we will tell you that and charge you nothing for saying so.
Common questions
Should a counsellor use a personal Gmail account for client emails?
It is hard to justify for special category data. A business account on your own domain comes with a data processing agreement, admin controls you manage, and an address you keep if you ever change provider.
Where should a therapist store client notes?
Somewhere encrypted, backed up and protected by multi-factor authentication, such as OneDrive or a dedicated practice management system. Not on a laptop desktop or in an email inbox.
How much does IT and a website for a private practice cost?
A one-page website is a fixed £350, with care plans from £15 a month. Microsoft 365 setup is from £499, and Business Premium licences are £25 per user, per month on a 12-month term. Klariq is not VAT registered, so no VAT is added.
Talk to an engineer, not a salesperson.
Tell us how your business works and what is bothering you. We will give you a straight answer and a fixed quote, and if what you have is fine, we will say so.
